Adding Recipients

TL;DR

  • Only email people who explicitly asked to hear from you and confirmed signup.
  • Use double opt-in and do not send until confirmation is complete.
Organizations should only send email communications to individuals who have explicitly requested and consented to receive them. All subscription mechanisms should be designed to ensure that recipients both understand what they are signing up for and genuinely wish to receive ongoing communications.

To achieve this, a confirmed (double) opt-in process should be used for all new subscribers. This involves sending a single verification email to the address provided during sign-up and requiring the recipient to confirm their subscription by clicking a unique validation link contained within that message. No marketing or informational communications should be sent until this confirmation step has been completed.

This additional verification layer serves several important purposes. It confirms that the email address is valid and actively monitored, reduces the risk of typographical errors and incorrect submissions, and prevents unauthorized or fraudulent sign-ups using third-party addresses. It also helps to demonstrate clear and auditable evidence of consent, which is essential for regulatory compliance.

From a deliverability and performance perspective, confirmed opt-in ensures that mailing lists are composed of genuinely interested recipients. Subscribers who have actively completed the verification process are more likely to engage with content, open messages, and interact positively with campaigns. This, in turn, improves sender reputation and reduces the likelihood of spam complaints, bounces, and unsubscribe requests.

Maintaining a verified, permission-based list also supports long-term list hygiene and operational efficiency. It minimizes wasted resources on inactive or invalid addresses and enables more accurate reporting and audience segmentation.

By consistently applying a confirmed opt-in process, organizations strengthen legal compliance, protect their sending reputation, and establish a foundation of trust with their audience, supporting sustainable and effective email communication.
