Who controls your information

The operator of outgoing.email is the data controller for information submitted through this website. Privacy enquiries and requests can be made using the contact form.

Information collected

When you submit the contact form, the information processed may include your name, email address, message content, IP address, country code, browser user-agent, submission time, and the page from which the form was submitted. Do not include passwords, payment information, special-category data, or other unnecessary sensitive information.

Purposes and lawful basis

Contact information is used to receive and respond to enquiries, maintain delivery and troubleshooting records, monitor reliability, and prevent misuse of the form. The operator relies on legitimate interests in communicating with visitors and operating and securing the website. Where an enquiry asks the operator to take steps before entering into an agreement, processing may also be necessary to take those steps.

Storage, recipients and retention

Contact submissions are stored in a Cloudflare R2 bucket and automatically deleted after 60 days. A submission reference is generated so an enquiry can be traced. Cloudflare provides website delivery, storage and security services. Cloudflare Turnstile checks submissions for automated abuse, and AuthSMTP delivers the resulting email. These providers may process technical request and message data only as needed to provide and secure their services.

Service providers may process information in countries outside the United Kingdom. Where data-protection law requires it, international processing must be covered by an adequacy decision or appropriate contractual safeguards. Submitted information is not sold or published.

Website analytics and cookies

Cloudflare Web Analytics is used to measure page performance and general website usage. Its browser beacon sends performance measurements to Cloudflare through /cdn-cgi/rum. Cloudflare states that this service does not use cookies or browser storage and does not track individuals across websites. outgoing.email does not set advertising or analytics cookies.

Your rights

Depending on the circumstances, you may have rights to request access to, correction of, deletion of, restriction of, or a copy of your personal information, and to object to processing based on legitimate interests. Use the contact form to make a request. You may also complain to the UK Information Commissioner's Office.

Security and your choices

Reasonable technical and organizational safeguards are used, but internet transmission and third-party processing cannot be guaranteed to be risk-free. Providing contact-form information is optional; if you do not want it processed through the form and its supporting providers, do not submit it.
